Before You Order the Fixtures: A Commercial Lighting Checklist for Contractors

Once fixtures are ordered, small mistakes become expensive jobsite problems. These ten checks help protect the schedule, installation, and final result before release.

The lighting submittal is approved. The schedule looks complete. The project needs fixtures, and everyone is ready to release the order.

This is the moment when slowing down for ten minutes can save hours of jobsite troubleshooting later.

Before the order is placed, a missing voltage, outdated drawing, overlooked ceiling condition, or incompatible control can still be corrected with an email or phone call. After the fixtures arrive, that same detail may require a return, a new approval, additional labor, or a schedule change.

Commercial lighting packages contain more moving pieces than most people realize. The goal of a pre-order review is not to make the process more complicated. It is to make sure the fixtures that arrive are the fixtures the project can actually use.

Here are ten details every contractor, electrician, estimator, or project manager should confirm before releasing a commercial lighting order.

1. Make Sure You Are Working From the Current Documents

Start with the document dates. Confirm that the lighting quote, fixture schedule, electrical plans, reflected ceiling plan, specifications, and approved submittals all match the latest project set.

A late addendum may change only a few fixtures, but those changes can affect quantities, mounting, controls, finishes, or emergency requirements. If purchasing is working from one revision and the field team is building from another, the error may not become obvious until installation begins.

Ask one simple question before release: Is this the exact package that was approved against the latest drawings and addenda?

2. Confirm the Fixture Count

A fixture schedule usually identifies what each fixture type is, but it does not always provide the final quantity. Counts may need to be verified against the plans, alternates, phased areas, and owner changes.

Pay special attention to decorative fixtures, exterior lighting, exit signs, emergency units, under-cabinet lighting, and fixtures shown only on architectural sheets. Those are easy to overlook when most of the package is concentrated on the electrical drawings.

This is also the time to confirm whether the owner wants attic stock or spare drivers. A few planned extras can be far easier to manage than trying to match a fixture years later.

3. Verify the Exact Product Being Released

Fixture tags such as A, B, or C are only shortcuts. The order needs to match the complete approved product, including the model, size, output, driver, finish, mounting configuration, options, and accessories.

This matters even more when an approved equal or value-engineered substitute is involved. Two fixtures may look similar on a product sheet while requiring different openings, hardware, controls, or installation time.

4. Check the Voltage

Voltage is a small line on the specification, but it can stop an installation immediately.

Commercial buildings may use different voltages in different parts of the project. Do not assume that every fixture is universal voltage or that the electrical drawings and product selection automatically match.

Confirm the required voltage for each fixture type, especially on remodels, exterior lighting, warehouse areas, and projects with existing electrical systems. If anything is unclear, resolve it before the order leaves the supplier.

5. Match the Fixture to the Actual Ceiling and Mounting Condition

A recessed fixture for a grid ceiling is not the same product as a surface-mounted fixture for a hard lid. Pendants, linear fixtures, wall-mounted lights, track systems, and high bays all rely on the correct mounting configuration and supporting hardware.

The drawings may show the design intent, but the contractor also knows what is actually being built. Confirm the ceiling type, mounting height, suspension length, junction-box location, backing, and any seismic or support requirements that affect the installation.

This review is particularly valuable on tenant improvements, where existing conditions do not always match the original plans.

6. Confirm That the Fixture Fits the Space

A fixture can be electrically correct and still be physically wrong for the job.

Check dimensions, cutout sizes, plenum depth, clearances, door swings, ductwork, sprinkler locations, ceiling features, and access for future maintenance. For exterior fixtures, verify pole tenons, arm configurations, wall conditions, and available mounting space.

Also confirm what comes in the box. Canopies, cables, mounting plates, whips, emergency components, sensors, remote drivers, and connector kits may be included, optional, or ordered separately. Missing a small accessory can leave an otherwise complete fixture sitting on the floor.

7. Lock In the Light Color, Output, and Finish

Color temperature, light output, beam spread, and finish all affect the completed space. If the project has multiple releases or approved substitutions, consistency becomes especially important.

Confirm that every fixture intended to work together uses the approved color temperature and finish. Make sure the selected output fits the design rather than simply choosing the brightest available option. More light is not always better if it creates glare or changes the atmosphere the architect and owner expected.

This is also the right time to check any samples or mockups. Once a full building has been ordered, changing from warm white to neutral white is no longer a simple preference adjustment.

8. Verify Dimming and Control Compatibility

A fixture may turn on and still be wrong for the control system.

Confirm whether the project uses simple switching, dimming, occupancy sensors, daylight controls, wireless controls, or a larger building system. The fixture driver needs to communicate correctly with the control method shown in the project documents.

The contractor does not need to become a controls engineer. The practical step is to make sure the fixture, driver, controls, sensors, and wiring approach have been reviewed as one system before products are ordered.

Controls are one of the easiest places for assumptions to create field changes, so unclear notes deserve a question before release, not after installation.

9. Identify Emergency and Environmental Requirements

Emergency lighting, exit signs, battery backup, generator-fed fixtures, and egress lighting should be clearly identified before the order is finalized. Confirm which products require emergency options and how those products are intended to operate during a power interruption.

Then consider the environment around each fixture. Interior dry locations, covered exterior areas, open weather, washdown spaces, dusty warehouses, refrigerated areas, and high-heat applications may require different products or ratings.

10. Confirm Availability, Delivery Timing, and the Substitution Plan

A complete product selection does not protect the schedule if the fixtures cannot arrive when the project needs them.

Confirm current lead times, which products are in stock, which are built to order, and whether any dates depend on final approval or deposit. If the project will be released in phases, identify which fixture types belong in each shipment and where they will be stored.

It is also wise to agree on the response if availability changes. Who approves a substitution? Which features must remain unchanged? How quickly can revised product information be reviewed?

A Clean Release Helps Everyone

A good fixture release gives the supplier and project team one clear source of truth. It should include the current fixture schedule, approved submittals, confirmed quantities, voltage, mounting conditions, control requirements, emergency options, required delivery dates, and the project contact who can answer questions.

That information protects more than the purchase order. It helps the supplier catch inconsistencies, gives the electrician confidence about what is arriving, and reduces the chance that a rushed decision will show up later as rework or a callback.

The best lighting suppliers do more than quote fixture numbers. They help contractors review the package, verify availability, compare approved alternatives, and make sure the order fits the way the project is actually being built.
